Charity Office

Software to be used:

​​

  • A charity office would need the basic operating system, e.g. mac os x or windows 10, so that basic jobs can be done easily e.g. sending emails, saving files and making/ relocating files. But the office would also need software that is able to make and receive calls from contacts and people all over that the world that have donated to the charity. this could be done a software such as Skype so that its easier to contact people online. Also software will be needed to be able to keep a record of how much money there is and how much has been donated to the charity. Software such as excel documents will also be needed to be able to store the details of the donate-rs, e.g. their name, address and bank details.

Network sharing needs:

​

  • The charity office will need to be able share data over a network quite frequently so that data can be synced to different servers so that the company can send and receive information between detonators and members of the office. A strong internet connection and phone line will be needed so that workers can communicate with donate-rs, And files will also need to be shared over a network so that files and documents of data can be used to find a solution to a problem and so that data can be edited easily without having to transfer it between different PC's every time.

Need for maintenance contract:

​

  • This is needed as all of the servers that contain peoples bank details and other details of addresses will need to be updated regularly sot that everything runs smoothly and so that everything is kept private from external use and people outside of the company. And a breach into these servers could compromise and affect eh company as people details will be exposed and money may be lost therefore less people will trust that company's server and general security.

Outputs required:

​

  • A headset would be needed so that the members of staff that work for the company can communicate and speak to other people. But nothing special will be required, just as long as the quality is crisp and clear. A display such as a monitor would also be needed so that the staff can create and edit new folders, files and documents such as word or power-point. A printer would also be useful so that important documents can be printed and filed in a secure place as a a physical back up for people information or bank details.

 

Need for integration with other systems such as home entertainment:

​

  • Because lots of communicate via phone calls will need to be made/ received, an integration with a phone service would need to be integrated with multiple phones that are in the office, so that globally, people can donate and add details to there profiles if this is needed. And the online donation software would also need to work across multiple devices and systems so that information can be stored and shared.

 

Processing power:

​

  • The PC's that are used in the office wont need to have too much processing power ad the applications/ programs that are being run shouldn't require too much in terms of processing time and specs that are needed. But the systems in the charity office should still run smoothly with no issues at all 

 

Storage capacity:

​

  •  Although the PC's that the staff from the company, wont use as much space, the servers that back up and store information will need a lot more space as it stores every single document, payment and detail that has been made by donate-rs or edited by members of staff.​ So the server would need at least 2 TB and the computer should be fine with just 500GB or more if it is needed.

 

Accessibility for disabled users:

​

  • Each member of staff at the office would need to produce documents that are clear and detailed for different types of users even those with impaired vision. And they would also need to make and receive phone calls that are clear to the user and repeated if the user has trouble with hearing. Because some of the workers may be disabled, there would need to be access points, e.g. ramps or lifts that allow those with movement disabilities to still access the office and disabled toilets will also be needed.

 

The ICT competence of the intended user:

​

  • Not a lot of IT skills will be needed for a user to donate to the charity, as only a limited amount of information would need to be inputted, which can be easily completed on their preferred browser. But he information can also be passed in person by visiting the office or by using a phone to pass on information about the donation that was just made to the charity. The workers in the office may need to have more IT skills as they may encounter errors or problems that may take more knowledge about IT to be able to fix the problem/s and they would need to be able to save and edit documents, make and receive phone calls and print documents.

Training requirements:

​

  • People who will use the program wont have to have any training as its a very simple procedure to donate to the charity, but if they needed help, staff from the office could help them in any way possible. However the staff that work at the office may need more training in the area as they would need to safely use software correctly and send information and packages to the right people/ companies without any issues, but someone in the team who is IT competent will be able to fix any problems that members of the office may need help with.

 

Cost:

​

  • Because the systems that are used aren't the most powerful as they don't need to be, they wont cost as much as they are only used to do office work such as creating word documents, backing up information and  printing documents to then file and keep safe. But the cost of a person to maintain the program may be higher as its a bigger responsibility and hob to do. So the wages that are given out to the staff are the most expensive things.
